The DMS now provides the ability to bulk archive all documents attached to an object (eg. project).

This is useful for example when a project "cancels".

Example

There is a project and there is a Document Management accordion which shows that Document Management is Enabled.



If you do a document search for documents against the project object you see all the documents in the DMS that have been added to it.



If you then disable Document Management for the object.



When you do the search no documents are displayed



The documents are still accessible if you specify to include archived documents.

If you need to make the documents active again you just need to retick the Enabled option on the Object.

When a document watcher is created from viewing a document in SupplyChain, the notification they receive is now different

They are now provided a link to see the document in SupplyChain as opposed to the DMS

There are 3 new File Types available to be selected for Document Types.

• .itc

• .rte

• .rvt
  
  

A "Browse" button is now available on the Generic Object View page.

If you click on Browse a search for the object's documents is performed.

If a document type allows Multiple Instances

Some small cosmetic improvements, have been made, to the document notification email.

The Activity feed for the document now says DMS as opposed to Almirah

When adding a document the file size restrictions have been relaxed to support up to 300MB.

When a user adds a large file they will be presented with a message


While the document is loading the user will see the Loading icon

• When an eSigned document is Archived, it now retains and shows on the Document View page that is has been eSigned.

• When a new version of a document is added, the Document Status is set to Active.

• On the Object Browse page and Document accordion, we now show archived/inactive documents.

• The Document Browse criteria entry field has an "x" to easily clear the project criteria.

• The eSign monitor page now retains filter/search settings when you navigate away-from and return back-to the page.

• The default Workflow Stage for the eSign page on first load is set to "Awaiting Signing".

• The "eSign Pending" and "eSigned" text shown at the right of the Document View page has been replaced with logo stamps to indincate the status.

• When editing a document that is either Pending or eSigned, if the document's type supports Instancing we do not allow the instance name to be edited.

When viewing a Document Type, the Document Structure is now shown as a hyperlink to access the structure.

When sending a document for eSign

• The default size for the email message has been made taller.

• The user can select whether to be notified of eSign completion/cancellation, independent of any notifications that may be setup for the document type.
  

The Customer Portal now supports selectable icons for workflow stages/tasks.

You can upload Customer Portal resources up to 100Mb in size.

The following actions are no longer available.

• Env. - Site Clean (Completed)

• Env. - Site Clean (Not Required)

Previously we have seen issues when a user starts a new registration (such as in Safety of Supply), that if they enter an incorrect email address (typically by mistake)
they complete the whole process only realise they cannot later login or access the account.

We now confirm that the email address is valid by emailing an Account Activation Code, to the entered email address, which they have to enter before they can continue

An email simillar to the one shown below will be sent to the email address with the Account Activation Code.

Features have been introduced to make it easier to confirm that suppliers have seen the latest versions of any documents that are associated with their purchase orders.

Supply Chain
In the Documents accordion of the purchase order;


You can click on the Watching icon and you will see all the people who are watching the document and you will see a green tick if they have seen the latest version.
You will see a red cross if they have not.

Gateway

In Gateway you can now search for emails with the title SupplyChain - New Document Version Notification.




The emails provide a link to the document.



DMS
In the Activity feed for the document you can see when the notification was sent.

The Documents accordions in Supply now contains the same Preview action that we have in DMS, for supported file types.

Previewing a file is the same as downloading it, in terms of recording that the document has been viewed by the user.

Prevously news items were automaitcally archived

You can now define when a news item should be made visible and when it should stop being displayed.
